Membership Information & Benefits
Join us as a member today!
Since we opened our doors in 2011, we’ve offered a range of flexible ways to attend that work for you from PAYG Packs to Pay Per Term. But our most popular way to pay is by joining as a member, which will open the door to loads of fantastic benefits.
With a Pilates Pod membership you can manage your attendance fully via The Pilates Pod app on your phone or by logging into your ‘client area’ on our website, so you can come when you want as often as your membership allows. Plus, you’ll feel part of our wonderfully supportive network of teachers and other members at Hitchin’s only fully comprehensive classical mat and apparatus studio.
Benefits of Memberships
- Members Top Up. Used up all your class quota in your membership for the month but want to book another class? Get £5 off the price of a single class, when you use the code TOPUP at the checkout. (available to Top Up 1 additional session per month.)
- Some memberships may also offer discounts of other items eg Classic PLUS Group offers 5% discount on any 1:1’s purchased.
General Membership Terms and Conditions
Please see specific memberships for exact details. Click here for Class Memberships. See here for PT, Duet and Combo Memberships
- Classes run for 48 weeks per year. – (approx 1 week off at Easter. 2 weeks off at Christmas. 1 week off in August though dates may vary for each year)
- Term dates are released seasonally in advance. You need to nominate which group class time or PT/Duet time you would like to attend for that term by emailing us. Members get priority on the time slot they were in last term.
- Group sessions are for 3-8 people. Classes may not run one week or at all for the term, if they fall below the minimum level required to run them.
- Your specific contract agreement is for a certain number of sessions per month which you can find details of this and all other benefits in your contract by checking here or on your client account.
- 24-hour cancellation policy. By doing that, you can join another group session at no extra cost within the calendar month your allocation applies (availability permitting). Cancellation is only guaranteed if you do so via our app or logging into the website’s ‘client login’ area. We cannot guarantee we will be able to pick up your cancellation via email or telephone, or social media, and we do not allow personal texts to our team.
- Monthly membership prices are calculated on a single session price x 48 weeks divided by 12 months and apply a membership percentage discount (ranging between 15-25%)
- Payment will come out by direct debit every 1st of the month (or next working banking day) via Go Cardless on behalf of The Pilates Pod
- You will be automatically notified via Go Cardless for failed payments via Direct Debit. Go Cardless automatically applies a charge for a ‘Surcharge Fee’, which is passed on to the customer. You will have 48 hours to rectify the issue and contact The Pilates Pod, who will re-run your payment and fee. If the payment fails after 48 hours from the original date, or if you have not been in touch to settle your account, it will result in a late fee of £15 being applied to your account, your account being frozen, and your future bookings will all be automatically cancelled and released. You cannot use your account until full payment is made. However, the direct debit for the following month will still be in force, and you risk facing further membership fees and possible penalty charges to your account, which we are entitled to collect through legal proceedings if necessary.
- A mini schedule may happen during the Summer holidays
- 1-month trial. If you want to end your membership, please let us know one week before the month ends or the contract will continue to standard terms.
- 6-month minimum subscription. Cancellation with less than 6 months of subscription will result in The Pilates Pod being authorised to charge you for the remaining period upfront.
- Classes in studio only. PT can be taken in the studio or Online with the request of a Zoom link.
- Certain memberships include Pod TV- Video On Demand Library Membership at no additional cost. (Core Group and Core PT do not.)
- 1-month email written cancellation policy (cancellation must be received by email on a working day, Monday to Friday and not on a bank holiday or weekend)
- If you choose to have a Duet membership, you must choose your duet partner. The Pilates Pod charges for the full Duet session regardless of whether one or both of you can make it one week. Some Duet patterns may wish to come to a personal arrangement between yourselves, e.g., one person away; the other has a solo session, then the next time, the other person takes a solo session. Please note that The Pilates Pod does not get involved in any of this, nor do we keep a record of who owes who, and we advise you always to have your arrangements zeroed before each new term. The fees for Duets are for both people at one cost. If any person’s payment fails, the other Duet partner may be liable for full settlement, and it is up to you to chase the payment from your partner.
- The Pilates Pod reserves the right to change any teacher or cancel a session, temporarily or permanently. Your contract agreement is with the studio, not the specific day, time, or teacher.
- If you choose to work with a freelance teacher on membership, we cannot guarantee using that teacher for all 48 weeks of the year as we rely on external contractors we have no control over. The Pilates Pod will always try to find a replacement for you, but contract agreements for memberships are only fully covered by employed staff members. There will be times when we may replace a freelance contractor for your session with another member of the team.
- Credits for freelancer sessions can also be used with employed staff teachers. Still, it is not within your contract for us to bring in an external contractor additionally to replace an employed teacher unless it is at extra cost to the client or for no extra cost at times when The Pilates Pod may need additional ad hoc cover for staff sickness.
- All session allowances, expiry dates, and membership terms are your responsibility to use, book, check, etc, as you wish using our fully integrated booking tool, Bsport. You can access your account for full transparency of all your details and bookings or to make changes, cancellations, purchases and more by logging into our app or the ‘client login’ area on our website.
